Private Outpatients Administrator

To support our patient focused approach, we have a growing team of support staff that ensure day to day operations of the business run smoothly. 

We have an opportunity for a highly organised and proactive administrator to join our busy Private Outpatients team. The job’s main purpose is to provide administrative support to the continuous operational delivery of our Private Triage team. You will be dealing with colleagues and patients in a professional manner, taking telephone calls, booking patient and clinic appointments and signposting parents, carers and professionals. 

Roles and Responsibilities:
• To provide excellent customer care when dealing with calls and enquiries
• To book both virtual and face to face appointments and follow up appointments for patients receiving ongoing treatment
• Complete requests for prescriptions and keep track of these 
• To appropriately deal with questions and queries from professionals, patients, carers and family members adhering to confidentiality policies at all times 
• Maintain accurate, up to date records of all patient information including attendances, appointments, assessments, and ongoing care
• Record and report clinical governance issues including, but not limited to, incidents, complaints, data breaches and safeguarding concerns and seek advice where necessary
• Monitor our shared mailboxes, responding to queries or delegating accordingly
• Always adhere to deadlines and timescales
• Provide cover for other members of the team and undertake additional responsibilities where necessary to ensure that a consistent service is offered

Requirements:
• A minimum of a year’s relevant administrative experience
• Excellent knowledge of MS Office
• Excellent interpersonal, organizational and communication skills
• Ability to prioritise
• To be highly motivated and able to work with minimum direction
• Clear understanding of the need to maintain confidentiality in all areas of work
• Knowledge of mental health terminology 
• Experience of working for a health or social care organization
• Knowledge of Salesforce
