Assistant Practice Manager

Oxford ADHD & Autism Centre (part of the Clinical Partners Group) are looking for an experienced Assistant Practice Manager to play a vital role in supporting the smooth operation of our clinic. 

We are seeking someone with exceptional organisational skills and a keen eye for detail. You will work closely with our practice manager to ensure the efficient delivery of services, manage administrative tasks, coordinate appointments, and maintain patient records.

You will assist the Practice Manager in the day to day running of the clinic and provide cover during absence. In addition, you will have the opportunity to engage with our diverse patient base and contribute to the exceptional standard of care we provide. 

The Assistant Practice Manager will:

• Provide or arrange cross-cover within the admin team to maintain a consistent and effective administration  service.
• Ensure administration staff have clear work objectives and work with commitment.
• Communicate professionally and effectively with clinicians, admin staff, clients, their families, and external colleagues.
• Assist with timetabling clinical and administrative team availability, as well as managing annual leave.
• Maintain accurate records on Cliniko, ensuring the accuracy of patient notes.
• Promptly address patient requests, concerns, and safeguarding issues, escalating when necessary.
• Record and process complaints promptly.
• Monitor and escalate any workforce issues or poor performance.
• Provide a friendly, efficient, and courteous service to patients and their family/carers, offering information and support.
Requirements:

Essential:

• Strong administrative or organisational experience.
• Proven ability to work to deadlines, prioritise and multi-task.
• Good knowledge across a range of administrative work procedures.
• Previous experience in co-ordinating or leading a team.
• Excellent interpersonal skills.
• Attention to detail.

Desirable:

• Relevant experience linked to a clinical and or mental health environment.
• Able to work alone and with people at all levels within a team.
• Able to learn and assimilate complex information quickly.
• Composed and resilient.
• Strong communication and customer service skills.
• Ability to work under pressure and deal with stressful situations.
• Friendly and approachable manner.
• Polite, sympathetic, patient and diplomatic.
